This Privacy Policy describes how JobInSync ("we," "us," or "our") collects, uses, and protects personal information when you use our construction workforce management platform. JobInSync integrates field operations (time tracking, GPS jobsite verification, scheduling) with a financial module (estimates, invoicing, and expenses). By creating an account or logging into the platform, you acknowledge that your organization has enrolled you as a team member and that your data will be processed as described below. This policy applies to all users: owners, managers, and employees.
2. Information We Collect
We collect the following categories of information to operate the platform: • GPS & Location Data: Latitude and longitude captured at clock-in, clock-out, and periodically during an active shift. • Time Entry Data: Clock-in and clock-out times, breaks, notes, photos, project assignments, and total hours worked. • Employee Profile Data: Full name, email, phone number, trade/job title, profile photo, home address, birthday, and emergency contact details. • Financial & Billing Data: Estimates, invoices, line items, client contact information, payments, and job expenses (visible to authorized roles only). • Device & Usage Data: Browser type, device identifiers, push notification tokens, and approximate usage logs used for security and product improvement.
3. How We Use Your Information
We use the information we collect to: • Verify jobsite attendance and support worker safety monitoring. • Calculate accurate labor hours, overtime, and payroll-ready timecards. • Schedule shifts, assign projects, and coordinate crews. • Generate estimates, invoices, and change orders for clients. • Send transactional and push notifications (clock-in reminders, geofence alerts, shift updates). • Maintain organizational data isolation so each company only sees its own records. • Comply with legal obligations and enforce access controls.
4. GPS & Location Data
Location data is central to jobsite verification. JobInSync collects your GPS coordinates when you clock in, when you clock out, and at periodic intervals while you are actively clocked in. Collection of location data begins only after you grant permission and only continues while your shift is marked active. When you clock out, periodic polling stops and no further background location is gathered until your next clock-in. If you deny location permission, you may still use the app with limited functionality (manual time entry), but jobsite verification features will be unavailable. Location data is stored with your time entries and may be reviewed by authorized managers and owners within your organization.
5. Data Sharing & Third Parties
We do not sell your personal information. We share data only with service providers that help operate the platform: • Resend: Used to deliver transactional emails such as change order signing links, invoice signing links, and account invitations. • Base44 Infrastructure: The underlying backend-as-a-service platform that hosts the application database, authentication, and serverless functions. • Push Notification Services: Apple Push Notification service (APNs) and Firebase Cloud Messaging (FCM) deliver push notifications to your device. Each provider processes data only as necessary to perform their service and is bound by their own privacy and security commitments. Your data is never shared with third parties for marketing purposes.
6. Data Retention
We retain your data for as long as your account is active or as needed to provide the service. Time entries, schedules, invoices, and related financial records are retained to support payroll, audit, and tax requirements. When an account is deactivated, profile data is restricted but historical records (timecards, reports, billing documents) may be retained by your organization for record-keeping purposes. You may request deletion of your account; however, certain records required for legal, tax, or organizational compliance may be preserved.
7. Your Rights
Depending on your jurisdiction, you may have the right to: • Access the personal information we hold about you. • Request correction of inaccurate or incomplete data. • Request deletion of your account and associated personal data (subject to organizational retention requirements). • Withdraw consent for location collection at any time by disabling GPS permissions in your device settings. • Object to certain processing activities. To exercise these rights, contact your organization owner or our support team. We will respond in accordance with applicable law.
8. Security
We implement industry-standard safeguards to protect your data, including encrypted data transmission (TLS), role-based access controls, and row-level security policies that enforce organization-level data isolation. Sensitive financial and employee data is only visible to authorized roles within your organization. No method of transmission or storage is completely secure, but we continuously work to protect your information against unauthorized access, alteration, or disclosure.
9. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, features, or legal requirements. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, provide notice within the app. Continued use of JobInSync after a policy update constitutes acceptance of the revised policy.
